Joining a Team Account via Invitation

Become a Member

When a Business account owner invites you to join their account, you’ll receive an email with a secure link. Follow the steps below to set up your access:

Step 1: Open the Invitation Link

Click the link you received via email. This will redirect you to the setup page.

Step 2: Create Your Account

  • Enter the same email address where you received the invitation.
  • Set a password.
  • Click Create Account.

Step 3: Confirm Your Email

Check your inbox and click on the confirmation link to activate your account.

Step 4: Accept Consents

Review and accept the required terms and consents to proceed.

Step 5: Add Your Name

Enter your full name and click Save.
Your profile is now complete, and you’ve joined the team account.

Permissions

Your access depends on the permissions set by the account administrator:

All Cases Access:
You can view and join any case created within the account, without needing an invitation.

Limited Access:
You can only see and work on:

  • Cases you create yourself.
  • Cases your colleagues invite you to join.

⚠️ Note: As a member, you cannot access subscription or billing information, and you cannot delete cases.

FAQ

I already have my own personal account. Will this affect my status as a team member?

No. Your personal account is a separate workspace where only you have access. You can keep using it independently while also being a member of another clinic account.

Real-Life Example

Imagine two scenarios:

Personal Workspace:
You own an office where you treat your own patients. You create and manage those cases in your personal Smilecloud workspace. You are the sole owner of that data, and pay for your own subscription.

Clinic Workspace:
You also collaborate in a larger clinic where you perform specific treatments. The clinic owner adds you as a team member, so you can access and contribute to cases owned by the clinic.

👉 Each workspace is separate.

When creating a new case, simply select the case owner from the dropdown (either your personal workspace or the clinic).
