Add Members to the Business Plan

Scale, Manage and Control your Team

The Smilecloud Business Plan allows you to centralize all your patients, cases, and team members in a single, shared workspace. It’s the ideal setup for clinics with multiple doctors or collaborators.

🚀 Why It Matters

With a business account:

  • All team members create and manage cases within the same clinic workspace.
  • You, as the account owner, retain full control over all cases and data.
  • If a team member leaves, you can remove them instantly, and their cases remain part of your clinic account.

This ensures continuity, ownership, and security for your digital workflows.

👥 Add Team Members

  • Go to My Account → Plan & Billing
  • Click Add & Manage Members
  • Enter your colleague’s email address and send the invitation
  • Your teammate will receive an email with a registration link. After entering their email and setting a password, they’ll be ready to join your workspace.

You can add members at any time — scale your clinic as your team grows.

🔐 Set Permissions

You can define who sees what with two access levels:

  • All Case Access: The member sees all cases created in the clinic and can join any case without an invitation
  • Restricted Access: The member sees only the cases they create, and can only access others if invited

This gives you control over privacy and case visibility across departments or roles.

 

🗑️ Remove Team Members

When someone leaves your clinic, you can remove them from the account under Plan & Billing.

You’ll have two options:

  • Keep as Collaborator: If they switch to a personal subscription, they’ll retain access to the cases they contributed to
  • Remove Completely: The user will be removed from all cases and lose all access

When a member is removed, the seat becomes available. You can:

  • Assign a new team member to that seat
  • Or remove the seat to reduce your subscription cost from the next billing cycle

🔔 For annual subscriptions, the seat will remain active for the rest of the prepaid term.
