# Teaching sessions with /case

Bring your clinical cases into the classroom with **/case**, the teaching functionality in Smilecloud. Lead a live lesson, share your screen, and let students apply what you demonstrate in their own temporary copies of the case.

As the educator, you decide who joins, preview students’ work, bring a student’s screen into the discussion, and check whether the group is ready to move on. You can also record the lesson and save it for later.

\**This feature is for educators only. To get access, send an email to* [*andreea@smilecloud.com*](mailto:andreea@smilecloud.com)

This guide takes you through setting up and running a session, then explains how students join and participate.

### **How a teaching session works**

- One shared link gives students a way to request access. You approve who enters.
- Each student works in a separate copy and cannot change the original case.
- You choose to teach in the original case or in a temporary clone.
- Students do not see the patient’s name. Their copies are deleted when the session ends.

#### **1\. Create your teaching session**

Open the case you want to teach and click the **/case icon next to the case name.** You can also choose Create /case in the patient details panel of Team Chat. The teaching entry point is available on teaching-enabled accounts.

**Choose where you will work and set the time window for the session.**

![](https://cdn-assets.productfruits.com/e08b78e7-7797-4929-8526-20b61030c0f0)

1\. Choose On a clone to teach in a temporary copy that is deleted afterwards, leaving the original case untouched. Choose In this case if you want your lesson changes to remain in the original case.

2\. Set the date, start time and end time. The session link only works during this scheduled window. Check the local time zone shown beside the schedule.

3\. Confirm that you have the patient’s consent to record and share the lesson. This is required before you can create the session.

4\. Click Create open link.

*Before you create the link, decide whether you want to keep the changes you make while teaching. This determines whether to work in the original case or on a clone.*

#### **2\. Invite your students**

After creating the session, click the /case label beside the patient name to open its settings. You can access these settings from inside the case or from its tile in My Cases.

![](https://cdn-assets.productfruits.com/a62a9ef0-b61b-459a-a0e3-0ce9fadedc02)

**Copy the shared link and check the session schedule.**

1\. Click Copy and send the link to your students. Everyone uses the same link.

2\. Include the session date, time and time zone in your invitation so students know when to join.

3\. To change the schedule, click Edit beside the date and time.

*Sharing the link does not approve anyone in advance. Students request access, and you decide who enters once the session starts.*

#### **3\. Start the session and approve students**

At the scheduled start time, open the session settings and click Open teaching view. This button becomes available when the session begins.

![](https://cdn-assets.productfruits.com/f9c78eee-a9e5-44e4-8088-e54bb0a19a7f)

**Review access requests under Waiting for approval.**

1\. Look for incoming requests under Waiting for approval.

2\. Click Approve or Decline for each student, or use Approve all to admit the waiting group.

3\. Approved students enter automatically after their copies are prepared. They appear under Students once they have joined.

*If nobody appears yet, check that students have opened the link, verified their email, accepted all three session permissions and clicked Ask to join.*

#### **4\. Teach with the console**

Click the / button or press the / key to open the teaching console during the lesson. Use it to review student work and manage the discussion without leaving the case.

**Preview a student’s work privately before choosing Put on air.**

![](https://cdn-assets.productfruits.com/0f62ff62-078c-4233-906b-1578bb55106d)

**Show a student’s work**

1\. Click a student’s name to open a private preview of their screen. At this stage, only you can see the preview.

2\. Click Put on air to share that student’s screen with the whole class. Their microphone turns on automatically.

3\. Select Your screen to return to presenting your own work.

- Microphones: mute or unmute an individual student, or mute everyone at once. Use your own microphone button to control your audio.
- Questions: when a student raises a hand, a count appears in the console and their name is marked.

*Teaching tip: give students a short task, allow time to work in their copies, then bring selected screens into the discussion to compare approaches.*

#### **5\. Check whether students are ready**

Use Ready check before moving to the next step of the lesson. It gives the whole group a quick way to tell you whether they are ready.

![](https://cdn-assets.productfruits.com/44116ad7-8382-4e1b-81f0-23ea043b558b)

**Students have 10 seconds to answer the ready check.**

1\. Open the teaching console and click Ready check.

2\. Each student receives a full-screen Yes / No prompt with a 10-second countdown.

3\. Watch the responses accumulate in your console. A student who does not answer counts as not ready.

4\. Click Dismiss to close the results.

*Teaching tip: if several students are not ready, pause to clarify the current task before continuing.*

#### **6\. Record and finish your lesson**

Click the recording control marked REC in the teaching console to start recording. An elapsed-time indicator shows how long you have been recording. When you stop, you can save the file or copy a link to it. Earlier recordings from the session are also listed in the console.

Keep an eye on the remaining session time. Before you finish, make sure you have saved any recordings you want to keep.

**Save the recording or copy its link before confirming End session.**

1\. Click End session to open the final confirmation.

2\. Download the recording or copy its link. This is your last opportunity to do so before ending the session.

3\. Click End session to confirm, or Keep session open to return to the lesson.

*Ending a session is permanent. Student copies are deleted, and an educator’s temporary clone is also deleted. A copied recording link works for 3 days; anyone with that link can download the recording without signing in.*

#### **7\. How students join**

Send these steps to students before the lesson so they know what to expect.

**Students must accept all three permissions before asking to join.**

1\. Open the session link from your teacher and enter your email address.

2\. Enter the 6-digit verification code sent to that email.

![](https://cdn-assets.productfruits.com/fff791f4-8188-46e3-b100-44c748f0492d)

3\. Read and accept all three permissions: the session may be recorded; your teacher can view your screen and show it to the class; and your teacher can turn your microphone on and off.

4\. Click Ask to join and keep the page open while your teacher reviews the request.

![](https://cdn-assets.productfruits.com/e53dc153-05e9-44cc-a73d-e89c020ceb88)

5\. Once approved, wait a moment while your own copy of the case is prepared. The session opens automatically.

*If Ask to join is unavailable, check that you have accepted all three permissions.*

#### **8\. Work alongside your teacher**

Your teacher’s shared screen appears in a floating window over your copy of the case. Drag the window to move it, pull its corner to resize it, and zoom or pan inside it. Minimise it when you want more room for your own work.

Everything you do takes place in your own temporary copy. Your changes do not affect the original case.

![](https://cdn-assets.productfruits.com/014ba03e-edc2-4016-8894-a33173fb717b)

**Follow the shared screen in a floating window while working in your own copy.**

- Use the microphone and raise-hand buttons at the top of the screen to participate or ask a question.
- Check the top bar to see how much time remains in the session.
- If your teacher presents your screen, you will see Your screen is live and your microphone will turn on. The floating window hides so you can work full screen.

![](https://cdn-assets.productfruits.com/0db013f8-ce29-4c01-8af1-cbad46f23f13)

- When a ready check appears, click Yes or No within 10 seconds. No answer counts as not ready, and you return to the session afterwards.

*Your case copy is deleted when the session ends. It will not remain available for further work.*

### **Troubleshooting and quick checks**

If you have trouble joining, use the message on the screen to identify the next step.

**Before your next lesson**

- Check that you have the patient’s consent to record and share the lesson.
- Choose the original case or a temporary clone according to whether you want to retain your teaching changes.
- Confirm the schedule and share the link with the correct time zone.
- Leave time at the end to save your recordings or copy their links.

**The session has not started**

Check the opening date and time shown on the page and return during the scheduled session.

**The session has ended**

The session copies have been deleted. To continue working with your own cases, you can start a Smilecloud trial.

**My request was not approved**

Your teacher declined the request. Contact them if you think this was a mistake.

**I cannot click Ask to join**

Accept all three session permissions first: recording, screen sharing and microphone control.
